These Terms of Service (“Terms”) govern your access to and use of MeetDirector.online (the “Service”), operated by Sports Timing, Inc. (“we,” “us,” or “our”). By accessing or using the Service, you agree to these Terms and our Privacy Policy (view).

1) Who we are & how to contact us

MeetDirector.online provides tools for organizing, submitting, processing, displaying, and analyzing swimming meet information, including rosters, entries, meet results, rankings, and related documents.

2) Eligibility and accounts

  • You must be at least 13 years old. If under 18, you may use the Service only with consent and supervision of a parent/guardian or your school/organization.
  • You’re responsible for accurate registration and for safeguarding your credentials and account activity.

3) Organization, school, and team accounts; minors’ data

Organization Users (coaches, meet directors, officials, team managers, school reps) submitting student-athlete or minor data warrant they have authority to do so, will comply with applicable laws and policies (e.g., FERPA where applicable), and will correct/remove data submitted without proper authority. The Service is not directed to children under 13; children may not create personal accounts.

4) Submissions and data processing; license you grant us

You may upload or submit files/data (e.g., SDIF/SD3, HY3, CL2, EV3, CSV, ZIP, PDF), rosters, entries, results, time standards, and documents (“User Content”). You retain ownership. To operate and improve the Service, you grant us a worldwide, non-exclusive, royalty-free license to host, store, parse, reformat, index, analyze, transform, reproduce, display, and distribute your User Content within the Service. This license ends when your User Content is deleted from active systems, subject to backups/archives and Section 16. You represent you have all necessary rights and that your User Content does not infringe others’ rights.

5) Public display; official results disclaimer

Unless configured otherwise by meet hosts or your organization, meet information (e.g., results, rankings, team names, athlete names and times) may be publicly viewable. The Service is for information and convenience only; the official results are those recognized by the meet host and/or governing body.

6) Acceptable use

  • No malware, interference, or bypassing security.
  • No unlawful use or violation of others’ privacy, publicity, IP, or contractual rights.
  • Only upload personal data you are authorized to share, especially for minors.
  • No posting confidential/sensitive/health data unless permitted by policy and law.
  • No scraping or bulk export except via features/APIs we provide.

7) Paid services & billing (if applicable)

Fees, billing intervals, renewals, taxes, and cancellation terms (if any) are shown at checkout or in an order form. Subscriptions may renew automatically until canceled. Late/failed payments may result in suspension or termination.

8) Intellectual property

The Service (software, UI, databases, reports, branding) is owned by Sports Timing, Inc. and licensors. Except as permitted, you may not copy, modify, host, sell, or distribute any part of the Service. No rights to our trademarks/logos are granted.

9) Third-party services and links

The Service may interoperate with third-party tools (e.g., timing systems, email providers) or link to external sites. They are governed by their own terms and policies; we are not responsible for them.

10) Feedback

If you provide feedback or suggestions, you grant us a free, worldwide, irrevocable license to use them without restriction or obligation.

11) Claims of copyright infringement (DMCA)

Send notices to our DMCA agent with all elements required by 17 U.S.C. §512(c)(3):

12) Service changes and availability

We may modify, suspend, or discontinue features at any time (e.g., maintenance, upgrades, compliance, security). We strive for high availability but do not guarantee uninterrupted or error-free operation. Beta/preview features may change rapidly.

13) Privacy

Your use is also governed by our Privacy Policy (view). By using the Service, you consent to our data practices, including processing and storage in the United States.

14) Security

We implement reasonable measures appropriate to our role. You must use strong passwords, protect credentials, and promptly notify us of suspected unauthorized access at security@meetdirector.online.

15) Indemnification

You agree to indemnify and hold Sports Timing, Inc. and affiliates harmless from claims, losses, and expenses (including reasonable attorneys’ fees) arising from: your User Content, your use of the Service, your violation of these Terms, or your violation of law or third-party rights.

16) Data retention and deletion

You may request deletion of specific User Content; we may retain copies as required by law, for legitimate business purposes (e.g., audit, disputes), or in routine backups (purged on a schedule). De-identified/aggregated data may be retained indefinitely.

17) Disclaimers

THE SERVICE AND CONTENT ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. WE DO NOT WARRANT ACCURACY, COMPLETENESS, RELIABILITY, SECURITY, UPTIME, OR ERROR-FREE OPERATION.

18) Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE ARE NOT LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR LOSS OF PROFITS, DATA, GOODWILL, OR OTHER INTANGIBLES. OUR TOTAL LIABILITY FOR ALL CLAIMS IN ANY 12-MONTH PERIOD IS LIMITED TO AMOUNTS YOU PAID US FOR THE SERVICE IN THAT PERIOD (OR $100 IF NONE).

19) Suspension and termination

You may stop using the Service at any time. We may suspend or terminate access immediately for violations, legal requirements, or to protect the Service/users. Sections 4, 8–11, 15–20 survive termination.

20) Governing law; dispute resolution

These Terms are governed by the laws of the State of South Carolina, without regard to conflicts-of-law principles. Venue for any permitted court action is the state or federal courts in Greenville County, South Carolina, and you consent to their jurisdiction.

21) Export and sanctions compliance

You must comply with applicable export control and sanctions laws and may not use the Service if you are subject to U.S. government sanctions or on any prohibited/restricted party list.

22) Changes to these Terms

We may update these Terms. If we make material changes, we’ll provide notice (e.g., email or in-product). Updated Terms are effective when posted unless stated otherwise. Continued use after the effective date constitutes acceptance.

23) Miscellaneous

  • Entire agreement: These Terms and the Privacy Policy are the entire agreement.
  • Severability: If any provision is unenforceable, the rest remains effective.
  • No waiver: Our failure to enforce is not a waiver.
  • Assignment: You may not assign; we may assign in connection with merger/acquisition/sale.
  • Notices: We may provide notices electronically.
