MeetDirector Online · Knowledge Base
For college coaches: registering your program, planning your next four recruiting classes, finding swimmers who fit, and connecting with them and their families the right way.
Article 1
If a colleague has already registered your school, choose it from Already on MeetDirector? at the top of the form instead of typing it again. You join its staff and share its recruiting board. A school can only be registered once per state.
Every coach is checked by MeetDirector against the school's own athletics staff directory before they can search for swimmers or contact anyone — this is what keeps the portal a place families can trust. It usually takes a working day, and you're emailed when it's done.
While you wait you can set up your program and plan your recruiting needs. Adding your athletics website to the registration helps us verify you quickly.
Article 2
The board always shows your next four incoming classes. A class is named by its high-school graduation year, which is also the season it arrives for — the class of 2028 swims its first college season in 2028-29. The board rolls forward every August 1, when the newest class has enrolled.
Under a class, choose the team, the event and course, a target time (or leave it blank for "any time"), how many spots you want to fill, and an optional note. Click Add need. Use Edit or Remove to change one later.
Every need has a Find swimmers button that opens the search already filled in from it. A request you send from that search remembers which need it was for, and the family sees it ("Recruiting the class of 2028: 200 Butterfly").
Article 3
Each row shows the swimmer's best time in that event, the gap to your target, where and when it was swum, and their class year. Click a name to see the swimmer's full public profile.
A class year comes from the swimmer's own profile when they or their club have entered one, and otherwise from the class shown in their most recent high-school meet results. MeetDirector never works it out from a birth date. Hover the year to see where it came from. Club swimmers often have no class year on record — tick Also show swimmers with no class year to include those of high-school age.
Swimmers whose families hide their name online, and swimmers who have turned off college contact, are never listed. Only swims that count toward rankings are used — not exhibition swims or unofficial meets.
Article 4
The site applies each division's first contact date for you:
| Division | Contact may begin |
|---|---|
| NCAA Division I | June 15 after the swimmer's sophomore year. A Division I program can't contact a swimmer with no class year on record, because the date can't be confirmed. |
| NCAA Division II | Any time, including freshmen and sophomores. |
| NCAA Division III | Any time, for calls and electronic communication. |
| NAIA and NJCAA | No date restriction is applied. |
Where contact isn't open yet, the search shows the date it opens instead of the Ask to connect button. Staying within your association's rules remains your responsibility.
Click Ask to connect, write a short note — who you are and why you're interested — and click Send request. You can send up to 50 requests a day. Some swimmers show Not on MeetDirector yet: nobody on their side has an account here (or, for a swimmer under 18, no parent is on file), so there is no one to receive a request.
The swimmer and every parent on file see your request, your note, your school, your title and your contact details, and parents are emailed a copy. Nothing about the swimmer is shared with you yet.
When the family shares the profile, it appears under Prospects as Profile shared with you. For a swimmer under 18, a parent approves the share with an emailed code first — you'll see Waiting for a parent's approval until they do, and you're emailed when it opens. Open it to see the swimmer's best times and meet history (and goals, if they chose to include them) and to message the family. Every message is kept on the site and the swimmer's parents can read all of it. The family can withdraw the share at any time.
A request the family declines shows as Closed, and your program can't send that swimmer another. A request nobody answers closes after 60 days; you can ask again after that, or after withdrawing a request yourself.
